Spot the Signal During Your Monthly Review

You don't need to wait for clients to ask; the signals are in their numbers. Look for these patterns during your regular reconciliation or monthly review:

  • Average daily balance below 10 days of operating expenses
  • Deposit velocity slowing: fewer deposits per week than prior months
  • Payroll or supplier payments getting delayed
  • Revenue up but cash tight: working capital constraint on growth
  • Client entering a slow season without adequate cash reserves
  • Client just signed a large contract but materials/labor needed upfront
You don't need the client to tell you they need capital. You already have the information. That's your advantage.

The signal usually turns up in the monthly close, not in a conversation the client starts.

Use the Client Qualification Checklist

Before introducing any client, run through the Client Qualification Checklist. As their bookkeeper, you have a unique advantage: you already have most of this information. A 2-minute check prevents a bad referral experience.

4

Introduce It Naturally in Your Monthly Conversation

The most effective time is during the monthly review when you're discussing the numbers. Frame it as a proactive observation, not a sales pitch.

Bookkeepers who make proactive referrals typically see higher approval rates than average, because they screen clients using actual financial data rather than guessing.

How to Surface Referral Opportunities in Your Bookkeeping Workflow
Credit card utilization referral trigger A credit card utilization axis from 0 to 100 percent, with the referral trigger zone highlighted above 80 percent. 0% 40% 80% 100% Trigger Zone Business credit card utilization
Monthly reconciliation trigger

During monthly reconciliation, flag any client whose end-of-month balance is below 1 month of average operating expenses. These clients are one bad week from a payroll problem; proactive outreach is valuable advice.

AP aging trigger

If a client's AP aging report shows vendor invoices being delayed past their payment terms, that's a cash flow signal. Mention working capital in your next check-in: "I noticed some vendors are being paid late, are you experiencing a cash flow gap we should address?"

Owner draw vs. revenue ratio trigger

When a client's owner draws are increasing while cash reserves are decreasing, they're paying themselves by drawing down cash rather than from profits. This is a common indicator that the business needs working capital.

Credit card utilization trigger

When you reconcile business credit card statements and see utilization above 80%, that's a cash flow signal. Clients using credit cards to fund operations are paying credit card interest when MCA might be cheaper and more sustainable.
