You don't need to wait for clients to ask — the signals are in their numbers. Look for these patterns during your regular reconciliation or monthly review:
Before introducing any client, run through the Client Qualification Checklist. As their bookkeeper, you have a unique advantage: you already have most of this information. A 2-minute check prevents a bad referral experience.
The most effective time is during the monthly review when you're discussing the numbers. Frame it as a proactive observation, not a sales pitch.
Up to 2% of the funded advance amount, paid within 5 business days. Annual 1099-NEC provided for amounts over $600.
During monthly reconciliation, flag any client whose end-of-month balance is below 1 month of average operating expenses. These clients are one bad week from a payroll problem — proactive outreach is valuable advice.
If a client's AP aging report shows vendor invoices being delayed past their payment terms, that's a cash flow signal. Mention working capital in your next check-in: "I noticed some vendors are being paid late — are you experiencing a cash flow gap we should address?"
When a client's owner draws are increasing while cash reserves are decreasing — they're paying themselves by drawing down cash rather than from profits. This is a common indicator that the business needs working capital.
When you reconcile business credit card statements and see utilization above 80%, that's a cash flow signal. Clients using credit cards to fund operations are paying credit card interest when MCA might be cheaper and more sustainable.
Register, get your referral link, and bring it up in your next monthly client review.
